Photo Groups is an optional paid add-on for your order. With our Photo Groups add-on, you can organize your photos with bags or rubber bands and we will keep your organization digitally! When scanning we will separate photos into digital folders for each group. This is perfect for keeping years or events separate and organized. These folders will appear on both your USB thumb drive and Cloud photos. As a bonus, we also use the group title to add Locations and Dates to your new digital photos. While grouping does keep similar photos together, we still cannot guarantee the order of photos inside those groups. Group Requirements Groups that do not follow these guidelines may be skipped or combined. Each group must be at least 60 photos (about a 1/2 inch stack). Photos inside each group must be sorted by size, from smallest to largest. Each group must have a Title written on the bag, a sticky note, or index card. Title Requirements Title Cards must be on the top of each separate stack. Titles can anything, from " A " to " bag 1 " to " Mary's Wedding 1992 " . If handwritten, please print legibly and not in cursive. We will convert titles to UPPERCASE for compatibility. Titles cannot be longer than 30 characters. Forward slashes '/' will be replaced with a dash character '-'. You can have several bags with the same group title. All groups with the same title will be combined digitally (there is no need to add Part 1 unless you prefer it). This is perfect for large groups that won't fit in the same bag. Photos in Groups still need to follow our photo preparation guidelines. Differently sized photos can be grouped together, we just ask that you stack smaller photos on top. If there are a handful of Groups that are smaller than 60 photos, that is generally OK. Photo Tagging Just separating your photos is a huge boost to organization, but we also sprinkle in some magic to enhance your Photo Groups. Here is how it works: Simple Title Recognition : When we scan a Photo Group, our system reads the title for Date and Location information. Let's say you have a Photo Group titled " July 1991 Tampa Reunion ". Our system understands that ' Tampa, Florida ' is the place where the photos were taken and ' July 1991 ' is the year and month. Extended Reverse Scanning: We automatically check the backs of your photos for more handwritten information and add this to the photo's tag. This is great for more exact dates or locations that only apply per-photo. Automatic Memory Tagging : We add all these neat details to your digital photos. It's like writing on the back of a printed photo! In the example above, your photo would now have a digital tag showing it was taken in Tampa, Florida, in July 1991 . This process makes it easier for you to find your photos later. You can look up photos by the place they were taken or the year, just like flipping through an old photo album, but on your computer. It also helps you remember when and where your cherished memories happened. Photo Group tagging is compatible with most Photo apps, like Apple Photos, Google Photos, and Samsung Gallery. FAQs Q: Do I need to purchase Photo Groups for each Cavernous Crate of my order? A: No, having the Photo Groups add-on applies to your entire order, regardless of how many boxes you have. Q: How much is Photo Groups? A: The add-on fee for Photo Groups depends on the service you choose. It's typically a 30% additional charge on top of the base box cost. For our Bring Your Own Box program, Photo Groups is an extra $0.03 per photo.
Our scanning process utilizes a sharp 600 DPI resolution and 24-bit color depth to ensure your digital photos are high-quality and long-lasting. Digital File Format (.JPG) After scanning, your digital photos are resized to a maximum of 6000 pixels on the longest side and saved as compressed .JPG files. This format reduces file size without significant loss of visible image quality. Uncompressed .TIF files are available upon request, but may take several extra days to upload. File Names Your scanned photos are named sequentially in the order they were digitized. If we scan the back of a photo, that scan is saved as a separate file with the extension "+back" added to the filename. This keeps the front and back of the same photo files grouped together while remaining distinct files. In your Cloud Vault Backup and on your USB flash drive, your photos will be listed with filenames like these: Photo_0001.jpg Photo_0001+back.jpg Photo_0002.jpg ...
These are the steps we take to make excellent digital archives of your photos: You pay a flat rate for one of our prepaid Mail-In packages. We will send this package to your address. Place as many photos you can fit into the package. Take the box to the US Post Office or have it picked up from your doorstep for free. We will confirm over email that your photos have arrived safely. Scanning will take between 3-25 business days, or 1-6 weeks. This large window helps us when things get busy, but most orders are completed within 10 business days. We send you a link to your photos in our Cloud Vault Backup. This link never expires, and you have unlimited downloads indefinitely. Your photos are shipped back to you for no extra charge.
Our magic enhancements automatically fix scratched, faded, and yellowed photos. We provide both the Original and Enhanced versions side-by-side so you can choose your favorite. Some photos might be sent in sideways or upside down. We automatically rotate your photos when scanning. All enhancements are available for free with every order . Enhanced photos are saved separately from the Originals (in those respective digital folders) on both the USB flash drives and your Cloud Vault Backup link. Additionally, all PhotoPanda scans are automatically rotated from sideways or upside down to their correct orientation. You only need to send your photos as big face-up stacks. Alternative media (such as 35mm slides, VHS, etc) are not eligible for automatic enhancements.
We estimate the number of photos that fit in each box based on the most common 4x6 inch photo size. However, we can scan many different sizes, including Polaroids. Acceptable Photo Dimensions: Minimum: 2 x 3 inches Maximum: 8.5 x 15 inches, and 0.5mm thick Photos that are too large, too small, too thick, or oddly shaped cannot be scanned. We will try our best to scan folded cards or papers, but cannot guarantee the scan quality. We are unable to make exceptions to these photo size limits. Media Types Our Prepaid Scanning Boxes include all the photo prints you can fit. We can scan any type of photo print as long as it is cardstock thickness or thinner (Polaroids are acceptable). For non-print items, please see our non-print media additional pricing . Fragile Documents (Not Recommended) We can scan newspapers, letters, handwritten notes, holiday/birthday cards, certificates, and documents, but do not recommend it due to their fragile nature. Our scanning process is optimized for photos, not documents. Photo Organization Please remove photos from envelopes and bags (unless you have ordered Photo Grouping). Required Photo Organization â Organize by Size: Stack all 4x6 photos together, then 5x7 photos, and so on. â Face Up: Ensure each photo is visible and facing up. â Flatten Photos: Each photo should be as flat as possible. You do not need to rotate photos before sending. We will rotate them as needed during scanning. Additional Requirements For more detailed information, please see our full requirements page . We recommend cleaning your photos of loose dust or debris before sending, as this can cause streaking and discoloration in scans. Organizing photos by size is required. Prohibited Items: Remove all staples, adhesives, paper clips, tape, loose plastic photo covers, glitter, or glue residue from your photos. Remove photos from envelopes and bags (unless you are using Photo Grouping). Photos with rounded or trimmed edges and non-rectangular shapes are generally acceptable. Non-rectangular photos may not be perfectly oriented after scanning. Photos that do not meet these requirements will be skipped during scanning without notification. If you are missing photos after receiving your order back, please double-check that they met these requirements.
All our shipping services are prepaid and completely free of charge! We also return your original physical photos at no extra cost. Shipping Speed and Carriers While speeds and carriers may vary depending on order size, we generally follow these guidelines: 1. Initial Box Shipment To You Your Photo Mailing Kit is shipped via USPS and typically arrives within 1-5 business days. 2. Sending Your Photos To Us With our prepaid scanning services, you mail your photos to us through USPS. USPS offers convenient services such as package pickup directly from your doorstep. These packages usually arrive at our processing center within 5 business days. We check-in photo boxes twice a week, so they may be delivered but not confirmed for a day or two. 3. Returning Your Photos To You: After scanning is complete, we typically return your photos using USPS Ground Advantage. In some cases, we may use UPS Ground. Your photos should be delivered within 2-7 business days after your order is completed. You have the option to add Signature Confirmation for this return shipment for an additional fee. This ensures your photos are delivered directly into your hands. Return shipping is always free. Prepaid labels expire one year after the order is placed. Requesting Alternative Shipping Options If you need to modify the shipping for any stage, please contact us with your order number and your specific shipping request, for example: Using a different carrier (FedEx or UPS) for shipping. Overnighting / express shipping. Holding your photos until you return from vacation or move. Discard your photos after scanning. Additional charges may apply. We are flexible and will do our best to accommodate your needs, preferences, and ensure your photos arrive safely every single time. Shipment Safety While 99.99% of photo shipments arrive without issue, PhotoPanda cannot be held responsible for materials lost, damaged, or compromised during shipping or the scanning process. We strongly recommend that you: Use our provided, reliable, and insured shipping methods when sending any materials. Securely tape all packages, even when we do not provide tape (such as with our Free Welcome Kit). Obtain a drop-off receipt when you send your package.
Access your digitized photos anytime with our secure Cloud Vault Backup . Enjoy unlimited downloads and expert-level protection, ensuring your photos remain accessible for 30+ years on any device. After scanning, all your photos are automatically available in this secure online portal, where you can easily view and share them! Click here for an example of our Cloud Vault Backup you would receive. Multiple Orders Separate orders are always given their own unique Cloud Vault Backup link. However, after any second order is complete, we generate a new "Ultra" Cloud link which contains all photos from orders with your email address. This can eventually be found at the bottom of your Order Status Page. This makes it possible to manage and view all your scanned photos in one place. Viewing Photo Backs If you selected Reverse Scanning, the backs of your photos can be viewed with a single tap or click on the photo. You can also display the back side by clicking the "Show Back" button at the top of the screen. Sharing Your Online Photos Cloud Vault Backup shareable links can be sent to anyone and include unlimited downloads. These links are emailed to you after scanning is complete, so there are no usernames or passwords to manage. You can read more about how we guarantee your photos will last this long in the cloud . Guaranteed "Forever Online" Access Our "Forever Online" Cloud Vault Backup is provided free of charge indefinitely. We guarantee access for a minimum of 30 years from your order completion date, but we intend to maintain these backups for many decades beyond that. How can we guarantee forever access? We own our servers. We own and manage our own server hardware, giving us direct control over the entire infrastructure. Unlike services that partner with large cloud companies, we do not require ongoing revenue to maintain server operation. A portion of your initial scanning fee is invested to cover future operational costs. Redundancy Systems: We implement redundancy systems to protect against hardware failure and enhance system resilience, ensuring consistent photo availability. State-of-the-Art Security Measures: We prioritize security with strong encryption methods for data both at rest and in transit. Combined with strict access control policies, our Cloud Vault Backup is robust against unauthorized access and data breaches. Photo Deletion To delete a specific photo or completely remove all your photos from the Cloud Vault Backup, please contact us. Adding Photos While every scanned photo is added to the Cloud, we do not allow uploading your own photos at this time. You're always welcome to save your scanned photos and upload them to Google Photos or Apple iCloud instead, which has more management features.

Customers purchasing the Large Cavernous Crate service can gather the box(es) from your local US Post Office for free. The Cavernous Crate is equivalent to the USPS Flat Rate Large box. We can email you a free prepaid shipping label/sticker to print out and attach, just contact our lovely support team after purchase. All other prepaid services must use the box we provide. Add-ons Every service package includes free insured shipping both ways, 600 DPI scanning, and industry-leading AI enhancements. We also offer the following add-ons: USB Flash Drives: One free USB drive is included with every paid order. Additional USB drives can be purchased for $24 each. Photo Frames: Modern and sleek photo frames, perfect for displaying your cherished memories digitized through our photo scanning services. $165 each. Photo Groups: We digitally preserve your photo groups. Separate photos into groups using bags or rubber bands. Add-ons can be purchased at any time on your Order Status page. If your order has already shipped, add-ons will be mailed separately.
Unfortunately photos are often mixed around when mailing, and we reorder photos based on size . However, if your photos are roughly the same size and packed tightly together they will probably be scanned in the same order you sent them in. We still cannot guarantee any chronological order you create is preserved when scanning. If you would like a little better control over organization, please see our Photo Groups add-on. By focusing our energy on bulk photo scanning we can keep prices as low as possible for those who just want a treasure trove of their memories.
We do not allow photo drop-offs at this time. Our process is currently set up to be entirely mail-based for the convenience and safety of all our customers. We provide prepaid, insured packages for you to send your photos in, and we take great care to ensure they are handled safely and returned to you in the same condition they arrived. Plus, our packages come with a tracking label, so you can monitor your photos' journey to us and back. We're based in Temecula, CA. We appreciate your understanding and assure you that we'll do our utmost to take care of your precious memories.
It is very important to keep your photos safe in shipping. We have some key recommendations to ensure your treasured memories stay safe: Ensure the box you've packed is as dense as possible. This prevents photos from slipping around during shipping. Pack as many photos as you can. Fill the remaining space with crumpled paper or other packing material. Use the provided foam to protect your photos by creating an soft, outer layer around them. Tape the box securely. We provide secure packing tape strips with each box. Peel the backing off the tape strips and seal the package on all sides. As long as the box can be taped down on all sides, it will be fine for mailing.
For most orders, scanning is completed within 10 business days (approximately 2 weeks) after your photos arrive at our lab. Please note that during peak seasons, order completion may take up to 6 weeks. Rush Orders If you require faster service, we offer a Priority Scanning option . This guarantees your scanning will be completed within 5 business days. Priority Scanning can reduce the entire PhotoPanda process timeframe from a potential 8 weeks down to just 2 weeks. Time Limit Organize your photo collection at your own pace! You have a full year (365 days) from your purchase date to send in your photos to us. We will be ready to scan them whenever you are.
After placing a PhotoPanda order, you are sent an email with a button to your Order Status Page. Here, you can effortlessly manage key aspects like: Change shipping or return addresses. Check shipment tracking information and delivery dates. Toggle Auto Enhancements and Reverse Scanning. Leave a note to our scanning technicians. Get the private web link to view your Cloud Vault Backup. Automatically cancel your order (if available). Purchase additional USB flash drives or Digital Frames. Add Photo Grouping to your order. ...and much more! All this can be done without having to wait for a customer service agent to help. No login credentials are needed to access your order status page. Please refer to any email from PhotoPanda for the link to your Order's Status page. Purchasing Add-Ons If available, you can purchase add-ons and upgrades directly from your Order Status Page. After making the purchase, you'll receive a receipt for any order changes. These changes will be visible immediately online and in our internal system. You do not need to update the label inside your photo box to reflect the new services.
There is really no limit. Our one requirement is the photos must fit into the package we send you. We don't charge per photo.
The holiday season is PhotoPanda's busiest time of the year. To have your photos scanned and returned in time for Christmas, please send us your photos by the following dates: 12/04 for normal orders. 12/12 for Priority orders. Your photos must be marked as in-transit by the USPS by the dates above. Any orders shipped after those dates will be based on our current capacity and may not be completed in time for the holidays. Customer Service Hours PhotoPanda staff are given extended holiday breaks. Customer service and orders may be delayed during the following periods: From November 24th to December 1st. From December 21st to January 3rd.
For the most secure mailing option, we strongly recommend getting a drop-off receipt from a US Post Office. PhotoPanda cannot be held responsible for packages until they reach our lab. All our prepaid services include free doorstep pickup! Go to https://usps.com/pickup/ to schedule a pickup at your convenience. Please only do this if you can hand it to your mail carrier directly, or if you feel comfortable leaving the package outside your front door for several hours. If your photos are in an envelope or small box, it may fit inside your mailbox. Some UPS Stores or Postal Annexes also take USPS packages.
We scan the backs of photos for free! This preserves handwritten notes, dates, and details that add meaning to your memories. We ensure every part of your photoâs story is digitally saved, making it easy to organize, share, and cherish for years to come. You can turn off Reverse Scanning on your Order Status Page or when purchasing on our website.
Yes, we mail your photos back for free after scanning! If you don't want your photos back, contact us (or leave a note to our team) and we can securely dispose of your photos for no extra charge. Changing Your Return Address You can also have your photos returned to a different address. We frequently have customers who are moving homes. They mail in their photos from one address then have us return their photos to a new address. You can control where we return your photos on your Order Status Page (provided via email after ordering). Update your shipping and return address online. Returning your photos to a different address is great for moves or delivering them to family for safekeeping.

With Priority Scanning, we will guarantee your photos are scanned within 5 business days after they arrive at our lab. This expedited service is currently priced as a 20% add-on fee. Priority Scanning can speed up the entire scanning process from 8 weeks to just 2. At this time, 2 weeks is our fastest door-to-door turnaround time. Priority Scanning is only valid for 30 days . To keep the 5 day turnaround time, please send your photos as soon as possible. For the absolute fastest service, we recommend using your own box to send us your photos. Wondering how many photos you have? Hereâs a simple trick to help you estimate. Neatly stack your photos of similar sizes in a tall tower. Measure the height of the stack using a ruler or tape measure (inches). Multiply the height of the stack by 60. For example, if your stack is 4 inches tall, you likely have around 240 photos (4 x 60 = 240). This method works best for standard 4x6 prints, but it can also give you a rough idea for other photo sizes. Itâs quick, easy, and saves you the time of counting every single picture! If you have thousands of photos, it's best to create multiple different stacks. The math is the same; if you have 20 stacks 6 inches high, you have about 7,200 photos (6 x 60 x 20 = 7,200). When youâre ready to digitize your collection - just send us your photosâweâll do all the work of counting for you. đ

At PhotoPanda, many of us work from home across the US doing customer support and technology development. Our lab and main office is based in Temecula, California. According to our office lease, the dozens of heavy packages we accept every day necessitates a different mailing address. Please ensure you send your photos to our Photo Mailing Address . Photo Mailing Address PhotoPanda 30777 Rancho California Rd #893520 Temecula, CA 92591 United States Other Scanning Services We aren't able to directly recommend any other scanning services, although if PhotoPanda is not right fit, we encourage you to see out a local print or scan shop to digitize your precious photos.
The Bring Your Own Box program is a little different than our prepaid services. The policies here apply only to the Bring Your Own Box program. Using your own box is a great way to save time and get the perfect fit. We'll scan any photo you mail us, as long as it follows our photo requirements . You can use any size box or envelope to mail your photos, in as many shipments as you'd like. BYOB Pricing You will be billed a flat $95, plus $0.15 cents per photo after scanning is complete. The $95 fee helps us manage the costs of processing, the included return shipping, included USB flash drive, and taxes and fees on our end. The fee is the same for any number of boxes you send in. For larger orders, we still recommend using our Cavernous Crates for the best possible rate. BYOB Shipping Unlike our all-inclusive services, the shipment cost when sending your photos to us is not included . We will not provide a shipping label for your own boxes, you will be responsible for shipping your box(es) to us. We recommend using an affordable and trackable shipping method like USPS Ground Advantage . Priority Mail, UPS, or FedEx are also good options. Return shipping, when we send back your originals, is still free . BYOB Processing After completing your purchase, we will send an email with a packing slip to print out. The slip ensures the photos you send are associated with your online order and shows our mailing address to ship to. Please include this page inside any box you mail. Photos The majority of the items (>90%) must be photo prints or instant photos (Polaroids). Please only include a handful of notes, cards, or documents. PhotoPanda does not scan slides, negatives, or transparencies. You do not need to know the exact number of photos you have before sending them. We will count them for you and bill you after scanning is complete.
If the box you chose isn't the right size, you can upgrade from your Order Status page or contact us and we will assist you in getting the right fit. When upgrading, you only pay the difference in price, we do not charge any fees or reshipping costs.
How does PhotoPanda keep prices low while being based in the US? First, we have a large window for scanning turnaround time. While most orders are done and shipped back within 15 business days, we quote up to 6 weeks for flexibility. Second, we ask that our customers do the preparation of their photos. Sorting and removing photos from albums and scrapbooks is a tedious task, but it allows us to keep our prices low. Lastly, our machines and scanning process are outfitted with the latest automation tech known to this industry. PhotoPanda contracts software engineers to build custom pipelines unique to PhotoPanda, ensuring the process is as streamlined as possible.
Your purchase is valid for one year (365 days). After a year, the prepaid shipping label attached to your package will expire. We recommend printing new shipping labels after 10 or 11 months to ensure your package will be delivered quickly. Shipping label renewal can be done on your Order Status Page. After a year has elapsed we are not able to refund your order.

Packages are occasionally misrouted during their journey. While it can be frustrating to see your package take a seemingly illogical path, it's important to remember that these situations are usually resolved within a few days, and packages always reach their intended destination. How to Track Your Package You can use your Order Status page, linked from all the emails we send, to find your package's tracking number and last location. Scheduling a pickup from your home is a safe and convenient way to mail your photos to our lab. Pickups are free with every prepaid service and are carried by the USPS. Your package must be taped shut and the prepaid shipping label must be left uncovered. Scheduling Steps Go to the USPS Pickup Website . We recommend logging in if you have an account. You should get an email confirming the details of your pickup. On the morning of your pickup, be sure your photo box(es) are placed where you selected.
