Media Types

What size photos are allowed?

We estimate how many photos fit based on the most common photo size of 4 x 6 inches. However we will scan any photo you mail us, as long as it is within these dimensions:

  • Minimum: 2 x 3 inches
  • Maximum: 8.5 x 15 inches, 1mm thick
What kind of media do you scan?

We do our best to scan whatever is included in the package. VHS Tapes / Cassettes are COMING SOON! Here are a few examples of things we scan frequently:

  • Photos
  • Entire detached album pages with multiple photos per page
  • Business cards
  • Flat birthday or greeting cards (without glitter/attachments)
  • Letters

Regardless of the content, please ensure your media is ready for scanning. This means removing staples, sticky notes, plastic coverings, and ensuring each item is flat.

If your media is too difficult to scan, we will refund you and send your package back.

We do not scan the following items:

  • Film
  • Negatives
  • Slides
Do you digitize VHS tapes or cassettes?

Scanning Process

Are my photos returned to me?

Yes, with all of our services we return your photos for free after scanning.

What does the whole process look like?

These are the steps we take to make excellent digital archives of your photos:

  1. You pay a flat rate for one of our prepaid Mail-In packages.
  2. We will send this package to your address.
  3. Place as many photos you can fit into the package.
  4. Take the box to the US Post Office or have it picked up for free.
  5. We receive your photos and confirm over email that they arrived safely.
  6. Scanning will take between 2-20 business days. This large window helps us when things get busy, but most orders are completed within 5 business days.
  7. We send you a link to your photos in the Cloud. Your photos are shipped back to you.
My photos are in albums or scrapbooks. Can I send these in as-is?

No, each photo must be sent individually. This usually means you will need to remove the photos from the album or scrapbook before sending them in.

I'm in a rush. Can I skip the part where you send me a box?

Yes, for any of our services you can gather the corresponding package and print our free shipping label yourself. This often reduces the time of the entire process by 3-5 days. Please contact support over chat or email at [email protected] if you are interested, we need to confirm you selected the right box for your order.

Can I organize photos into groups?

Yes, for any of our packages you're welcome to put groups of photos in bags or envelopes with a title. We preserve those groupings digitally. Groups will be ignored unless they follow these two rules:

  1. Each group must be at least 40 photos.
  2. Each group must have a title. This can be written on a sticky note, or on the bag/envelope. Something as simple as "bag 1" is fine.

We do not guarantee the order of photos within groups. We will reorganize the photos inside groups based on size.

Do you preserve the order of my photos?

No, we cannot guarantee the order of your photos will be kept. Photos are often mixed around when mailing, and we split groups of photos between machines and technicians. Photos are reordered based on size.

By focusing our energy on bulk photo scanning we can keep prices as low as possible for those who just want a treasure trove of their memories.

Psst... We are experimenting with ordering photos by the clues given on the date stamp. If we crack the code, this will be applied to everyone who has scanned with PhotoPanda in the past.

Is there really no limit to how many photos I get scanned?

There is really no limit. As long as the photos fit into the package we send you. We don't charge per photo.

What format are my digital photos saved in?

We save your photos in .jpg format with the equivalent of 95% constant quality.

Purchases and Refunds

What if I choose a box that is too small for all my photos?

If the box you choose isn't the right size, just contact us and we will upgrade your order. You only pay the difference in price, no fees or reship costs!

How much time do I have to send my photos after purchasing?

Your purchase is good for one year or 365 days. Please be sure to send your photos using the provided package by that time. After a year has elapsed we are not able to refund your order.

How does PhotoPanda keep prices low while being based in the US?

There are two key components to our affordable services.

First, we have a large window for scanning turnaround time. While most orders are done and shipped back within 5 business days, we quote up to 20 to protect ourselves from a large influx of orders.

Second, our machines and scanning process are outfitted with the latest automation tech known to this industry. PhotoPanda contracts software engineers to build custom pipelines unique to PhotoPanda, ensuring the process is as streamlined as possible.

What countries do you serve?

We serve anywhere within the United States and its territories. This includes American Samoa, Guam, Commonwealth of Puerto Rico, US Virgin Islands, Commonwealth of Northern Marina Islands, and Wake Island Atoll.

Can I change my return address?

How long do I get Cloud Vault backup for my digital photos?

Our Forever Online Cloud Vault Backup is free forever. We can guarantee a minimum of 30 years, but intend to keep backups for many more decades after.

How effective is automatic image rotation?

Our automatic image rotation is good, but like all automation it's not a one size fits all. We expect about 99% of your photos will be correctly rotated if they are sent to us completely jumbled.

If this is not acceptable, please ensure your photos are rotated correctly before sending them to us.

How many USB drives are included with my order?

We include (1) one USB drive with every paid service (our Free Welcome Kit does not include a USB). Additional USB drives can be purchased for $9 each. We will include these extra USBs with your most recent scanning order.

If your order has already been shipped back to you, we will send the USBs separately. For other options, please reach out to us directly.

What is the size of the USB drive?

This depends on the number of photos. We have USBs ranging from 16GB to 128GB and will choose the most appropriate size for your photo collection.

What about the privacy of my photos?

The only photo our technicians see is the one on the very top, as they move your photos from the shipping box to the scanning machine. In addition, your Cloud Vault backup link is encrypted, and private to you and you only.
